Christmas Eve

Hey guys,
Thanks for being such a great team, swapping schedules and even updating the calendar!

I think I remember someone that could serve on Christmas Eve @ 5pm  (Dave, was that you?) .  Let me know if we could get two of us to support this to ensure a real professional, smooth service, especially to those on the outside (although this should be the norm, however, we do what we can with what the Lord has given us).

See you all at the church on Tuesday at 7pm this week!  (contact me if you want to join in the fellowship)

Re: Fwd: Backstage Pass

Hi Randall,

I will be out of town on that weekend or else I would be in.  Sorry about that, but I will be in Dallas.  Hope someone else can make it.

Hi Gang,
I am scheduled to serve in media the weekend of Backstage Pass, Nov 7th.  I believe I just need one person to help me with meeting folks and pointing them in the right direction (we will be trying to get people to come in the booth).

Let me know if you can be there!

Thanks,
Randall

Hey Everyone,

Just wanted to let you know, that I would really like to see all of us as involved as possible, this is a a great event to have fellowship and get to know people.

It lets the church know what it takes to facilitate ministry within our church, some may even want to get involved through this event, though that is not the goal.

Please let me know how you are able to participate, and thank you all for what you do and the heart with which you serve.

Thanks,
Stephen

Service Media Capture and Upload 2010

Hey gang,
So the ability to Upload the Audio Message is now working, and wow, it's working great!!  The process is basically THE SAME.
Our IT leader, Phil Huereca, has relocated all the Calvary Austin web data to local servers in the church.  That means the upload happens instantly after you submit it.

I've updated all the links and logins.  To go to the correct site, you won't need to login with a user and password.  I created a Login bookmark called:

"Message Upload - Audio Podcast Portal"

This essentially goes to this link which is located ONLY in the building:

The Form you fill out is essentially the same, for most of you guys it should be fairly transparent.  You can see that all of the podcasts from last month have been updated and we are up to date moving forward: http://podcasts.calvaryaustin.org/podcast.php  (don't use this link if in the building, you can use http://local-podcasts.calvaryaustin.org/podcast.php - note the only difference is the "sub domain").

I updated the Guide below and will also share it out to you in Google Docs.  Let me know if you have any questions.  I'll be there after 1st Service for any help, but again, it's the same process.....

Thanks!
Randall

  1. For more information using Sony Vegas, consult the manual or be shown

c. Highlight the media to trim, use the S key to split into two

        c. Submit the podcast file and wait until the page says COMPLETE!  Check that         the audio file has been uploaded and listen to the beginning to be sure it uploaded         correctly.

  1. Rendering the Video: MP4 on Sony Vegas
  1. File – Render As:  MainConcept AVC/AAC (*.mp4)

Podcast Update Delayed

Because we are moving all the audio files to a local server, the podcast won't be online until Phil and Stephen work out the details.  Here's the file in the meantime:

Extracting Video Files from a DVD

For live production, trying to run off an optical drive has its troubles. This has to do with a variety of things, one being the disc drive is not constantly spinning so it usually takes a few seconds to spin up. But really it's a resource hog.

Easy Worship can play the video files from the disc, so it's a matter of finding the right file to play. This last week we were asked to play "Tools for Building" for the marriage conference. So play the disc as normal (most PC's the default is Windows Media Player). Clicking on the title screen, "Tools for Building", look at where the "title" and "chapter" location on the media:

Now we need to go to Windows Explorer and Explorer the disc files. There's usually a video folder to go to and find files ending with VOB. These will also be fairly large. To find the right one, you can usualy see the title, underscore, chapter. In this case we are looking for VTS_06_01.vob or something like that. Arranging the view of the files you can quickly find the right file by sorting by the file name.

It's just a matter of copying that file to the hard drive of the computer and importing it in Easy Worship.

Hey guys,
So here's what I came up with on the media calendar for April, and some of May... Please let me know if you have any issues or concerns on this.

I won't be there on Sunday at all so contact me if you think there will be any concerns.

God bless bros--

P.S. I've taken the CMS site down from CalvaryAustinMedia.org but all the same information is on CalvaryAustinMedia.Blogspot.com, including the latest calendar link (you can always seach "calendar" and it will pull the latest one).

Easter Service & Practice

Hey Team!
There's going to be practice tomorrow night for Easter Service.  Now I realize I didn't schedule anyone else but can I get some volunteers so the service goes as smoothly as possible.  Again, I haven't been thinking ahead that well lately.

So tomorrow, Thursday at 7pm is practice for two bands that will play Easter Services.

And if I could get one person for 1st and one person for 2nd service, that would be great!

Thanks a for your grace and service in advance.

DELETE OVERHEAD EMAILS - After Services

For organization sake and that we make sure to get any new information for each service, let's try to make due diligence by deleting the emails on the Overhead PC in Outlook Express at the end of church time.

Be sure to look at the emails in Outlook Express for information coming from staff and other volunteers.

This will help each of us keep a better track of updates and we can use it to remind ourselves as well.

Capturing Wednesday Services

Hey guys,
I hope you would all agree that having the message of Wednesday Services online would be very fruitfull.  So we are going forward with using the CD from the Sound Team after they record the audio CD for Media Sales.  For us, it will be just a matter of importing the audio CD into iTunes, just like any music CD you would do at home.

I have it all setup to do it automatically when an audio CD is inserted in the Encoder PC.  Then after it's converted, we would just go to the library, right click on file in iTunes and select "Show in Windows Explorer".  Then it's just a matter of using the same Message Upload forms that we use on Sunday mornings.

I'm attaching a picture that shows a small window that will pop up that will exceedingly help us fill in all the forms from Wednesday to Sunday and back.  You can also click on the Internet Explorer Toolbar "FillForms" if the box isn't there.

Get with me if you have any questions, and we can use some time on Sunday if we can go through the steps.

Have a great week in the Lord!

Randall

Media Updates - Helps & Info

Hey bros -
So some of the new changes with the church have required some slight adjustments as we already are aware.  Here's some others that may be helpful as you serve:

- Pastor Light throughout services - Since our new worship leader is on the right side and there are many more people on stage, we can use the Pastor Light Scene for both Worship and Teaching time.  We wouldn't therefore need the band scene and only need to adjust the house lights.

- Turning off the projectors above stage (projectors 2, 3, and 4) can be a lot easier by turning off the DVD players.  The projectors will turn themselves off after 5 minutes of no signal (blue screens for 5 minutes)

- Turning off the Main Projectors (projectors 1 & 5) can be done from the booth - at each front corner.  Turning them on needs a little more finesse, being closer, as to reduce the amount of time miss firing since it's such a long distance.

- We won't be switching the Projectors by the way.  Things will stay the way they are.

- No more moving elements on the screens above the stage.  We have all heard and know that it can be distracting, and it's very clear to our new leadership that we need them to compliment the service, not cause a possible distraction of focus.  I'll load the DVD's tomorrow with one still image (all the same) for Ephesians, and a different one for Wednesday night for Revelation.  This does mean that we will need to switch them out from Sunday to Wednesday each week.  I have a plan in place to make it a little easier but it may require some money which we don't have.

- Wednesday nights are basic: A one man media support - We should only be running on the Overhead PC and of course the Lighting, but not needing to work with the video cameras unless you'd like to and can.  Also no capturing / encoding the service.  This may change but we I believe the Sound Team will be recording the service.

Please get with me if you have any questions.  I look forward continuing to serve with you.

In Christ,
Randall

New Worship & Media

Hey guys,
I just wanted to remind all of us the importance of having a servents heart when it comes to change.  We need realize we are the servents just open to serving how the Holy Spirit wants to lead.  We should not expect to be served with all the information we need, since it would no longer be any sacrifice on our part.

We just have to trust the Holy Spirit will lead and that He won't distract Himself with all the changes and challenges we may face.  Let's serve together and He will be honored!

God bless and thanks guys!

Media Calendar

Hey Team,
Things are looking up for Calvary Austin.  Much excitement in store.  Here's the Media Calendar which is online with Google Docs.  If you have a google account you can log in and update it if needed, especially if you need to switch with someone.

Ben / Chris, welcome.  I will send you an invite on the Calendar for access.  I put you in italics since you are in observing and in training.  These aren't in stone so if you got the time and the desire, please come to any service you'd like.

Save this link in your bookmarks, it won't change where it is online.

Confirmed: Complete Media Run Down is a GO

Okay guys, everyone seems to be good for Monday Feb 1st at 6pm.  We'll meet up to go through a full power up and shut down of the media ministry.  Also we will go from left to right on each PC and touch on anything you may not know how to do.  We will especially look at the podcast and how that is done and completed.

Thanks all

Complete Media Run Thru

Hey guys,
I would like to propose a time for our media run through:  Monday Feb 1st @ 6pm.  If this doesn't work for you please propose other times.  If you can be there on Sunday about 8:45am, we can at least go through the power up process.

I plan to take my camera and record our time and then post it for reference.

I wanted to thank you guys for covering me last Sunday for 2nd service.  Sounded like everything went off without a hitch.  Awesome!

See you soon.

Camera Switching

Hey Gents,
Just wanted to give you some great news.  I had an hour long meeting with Pastor Terry and his new right hand man, Stephen Wahlstrom.  We discussed many things, among them our man power issue and the need to be able to tone things down on cameras.  Terry was very supportive of any way we could make the ministry less of a burden and more enjoyable.  So we can move forward on the new way we would be switching the video board:

During worship, leave on overhead the entire duration of worship;  no video cameras during worship
During the message, have a wide shot set for the teaching pastor the entire duration of the teaching time (see attached for example)

Essentially I plan to sit down during the message with my wife as you can as well.  However this doesn't mean you have to do the above, you can still switch the cameras if you'd like.  It's up to you.  You have "artistic license".

As for other things, I will be sending out another email later to detail what I think we need to do next due to our staffing conditions.  One of my goals is to come up with possible scenarios that will enable each of us to serve while having at least one or two weekends off, including myself!  So be thinking of ways we could do this.

In case you haven't noticed I also streamlined the lighting down to one button.  We have a set of buttons for spots and a set for house lights, five in all.  I could even go further on this as well.

Let's continue to pray.  Wednesday services are going to be very low key.  Let me know if you would like to be the "Wednesday Night" media tech.  But Terry says if we can't support Wednesday from media, the service will still happen regardless of what it looks like.

God bless.  Let's chat soon.

In Christ,
Randall

We will be having COMMUNION SERVICE on January 3rd.  It will run pretty much the same as the last time we had a Sunday Communion Service.  Please communicate to your teams so we can be prepared.

Terry will give us an order of service soon.

Thanks so much.
