Christmas Eve Services

Hey gang,
Looks like we'll have a few Christmas Eve services.  Pretty cool timings too, that is if you don't work that day.  4pm and 5:30.  Pretty sure they will only be one hour long each like we do usually, and of course the ever famous "light stick" candle light!

Media/graphics lunch meeting?

I will be there to meet with you.  I'll ask Milan to be there as well since he is like the other half of the creative media team (if not most of it).

But let me give you some basics, since it's pretty simple yet for some reason we are always behind the eight ball (surprise!).

- Theme Graphic & Font:  This is usually concocted by Allen and Richie creates the design graphic.
- Bulletins - Used by the Theme Graphic & Font to create the bulletin look
- CD Cover Art - Used by the Theme Graphic & Font to create the cover art for the CD Media Sales duplication
- Banner Web Page - Used by the Theme Graphic & Font to create a banner on the web site
- PowerPoint - Used by the Theme Graphic & Font to create the PowerPoint for the Service Messages
- Transitional Video - i.e. Intro Video - Created by the Media Team (Video Producer I)using the Theme Graphic & Font and other media to create a 30 second transitional video between the Worship and Message (when you say "Greet one another" we RUN THE VIDEO! ) The video takes time to create since the critical element is the music used.  It's usually the main challenge other than the timing.
- Stage Elements - aka the Three Screens above the stage require graphic elements based upon the Theme Graphic & Font (are we seeing at concurrent theme yet?).  The Stage Elements are dozens of media graphics and require a lot of time to find the media and create the DVD's needed to load it (so remember we can't load elements ad-hoc at time of service) The is also created by the Media Team (Video Producer II) 

Each Video Producer I and II require 4 hours (8 hours total) in addition to the others.  See this link here that shows the layout of the media team and requirements thereof..

I'm sure you noticed that the main piece of the pie here is the Theme Graphic and Font.  It's always been a little tricky or what I would consider ironic that it always comes from the top and we essentially piece together everything else from it, but that's how it's always been.

For December, I have an email from Allen that he is calling Ornament, which details Christ's family tree taking Matthew's genealogy.  We can go so many ways with this which is great but Allen may have only a few specific thoughts on it, such as using a basic "ball ornament" rather than "trees".

Well hope that's enough to get us going and feel free to print this out and take it with us when we talk.  However, fundamentally, it's going to be up to Allen otherwise we may start backwards and colors and fonts may be out of wack...which has happened before unfortunately.  Considering we have three services during the first week of December, we don't have a lot of time!!!  For the Media Team (which for this portion is me, Milan and Todd Ellsworth), this is always a scramble.  Anyway, Praise the Lord.  :)  I will have to explain to Kristen that I can't hang out with her that much next week.  Praise the Lord.

Gentlemen,

Most of you were able to get your cards and participate in the distribution efforts this weekend.  I know for some of you, this was a real stretch.  Approaching guys and introducing yourself and encouraging or inviting to the breakfast can be difficult for some.  I hope you were able to take that step and grow, and see what an awesome thing it is to assist others in getting involved.  If you weren't able to give your invites out this weekend, please do so this coming weekend.  We don't want to have any uninvited guys.  If you don't think you can get them out, see Darren or I and we'll assist.

To celebrate your efforts, we had about 80 guys signed up this weekend!  That's AWESOME !  I pray that we will see another 50-100 this next week, to go along with the 50 or so that were registered prior to this weekend, we'll exceed our goal of 200 guys.  Thank you for your leadership and ownership.  This is your church and it will be what you make it.  (with Jesus help, of course!)

This coming weekend, I encourage you to continue the inviting and walking guys over to sign up, even if you don't have cards.  Guys just want to be asked!  This is the last weekend for signups.  (between us, if a guy hasn't signed up, we encourage him to attend if he decides to or suddenly has a break in his schedule.  We'll plan for food for walk ins.  Should anyone ask you.)

Have a fantastic week in the Lord, and be praying for signups, attendance, and for the message that Allen will share.  Also, please be praying about the Retreat.  We need God's provision and guidance and for men to show up in record numbers to have the impact that we want to have in our church and with our men.  There is a real spiritual war going on out there, so prayer is the weapon of choice.

  6. Ask them to then to introduce themselves to 1 person, and give that card to someone who HAS NOT rec'd one (it may take them 2-3 tries), and ask that guy to come and sign up

I think you can see the power in this.  We will ultimately invite 500+ guys personally to this event.  We will get other guys in the game, and get guys meeting guys they've never met.  The relational factor just went up 300 fold.

HOW DO YOU GET YOUR CARDS?
Each pastor will have a stack for guys he's identified.  We've identified more guys than we will have stacks, so it's a first come first serve effort.  Come early to get your cards, so you can invite before, during and after services.  Get rid of them before you leave.  Walk the guys over to sign up.  That's the end goal.

YES! I second that motion! Ane you sure the output level would be
enough? I suppose we could hide it behind the drummer so that we get
an even effect.

I don't have specifics about a solution, but I would suggest that we
redo the center camera somehow since in it's current position it seems
to be wiggling somewhat. Even worse, with the podium so far forward
the angle shows off the top of Alan's receding hairline more than it
needs to, especially when he reads from his Bible. Maybe we can drop
the pole a couple of feet, and reinforce the bar?

New Elements for CGI Overhead & Lighting

Hey gang,
So our pastors really love it when we cue the annoucement slides per topic when Allen announces them at the end of the service.  So we are going make this a new and great way to communicate visually the information he is relaying. 
 
We should be getting a list in advance of what slides to put up, and therefore we'll need to have a separate announcement power point at the end with the pre-arranged slides.  So for you guys that are scheduled for CGI Overhead, but sure to include this in your regular preparations.  It shouldn't take too long if we have a list.  Let Milan, JoAnn, or I know if you need any help with this.
 
For this weekend, we'll just need to be sure to put up the Baptism slide. 
Lighting
Also, when you get to church you may notice some new lights!  If you are on light or would like to know what they do, Mark or myself will be able to show you some new moves.
 
The back light behind the white curtain is also ran through the NSI board (old one) so it will be on automatically. (no more plugging it in the wall).
 
Video
Don't mean to leave you videographers out!  Just want to encourage you to try and play with some of the effects and transitions.  We may consider using the PIP, Picture In Picture for the Nuserary Alert so that we can maintain a wide shot of video during the message instead of 5-10 minutes of a power point slide.  We are recording them and uploading them to Google Video. 
 
We'll go forward with being able to upload the captured video on Sunday and have it viewable by Sunday evening.  Please let me know if you would like to help with this process.  It would only require a few minutes of computer use on your home computer later that Sunday afternoon!

Media Stuff

Hey gang,
Missed you guys that couldn't make it yesterday for lunch. Remember,
we'll be making this a monthly thing, being the Sunday after the First
Wednesday Service.

Some things to mention:

We are no longer going to wait to run the intro video during greeting.
As soon as the worship leader tells folks to greet one another, we
can then run the intro video. Average length of the vids will be 30
seconds, which is plenty of time to greet and transition the pastor to
the podium.

Also, if you do video and you have problems with the brightness issues
when transitioning to the pastor, please show up about 25 minutes
early before service. We can have someone stand up there as the
pastor and you can adjust the brightness and get your camera presets
in advance.

Just a reminder of certain pre service checks and shut down
responsibilities for each role, please reference the media role
descriptions here:

-Folks doing CGI Overhead is responsible for shutting down all projectors
-Folks doing video are responsible that there is video and audio in
the New Parents Room and Nursing Mom's rooms.

Media Calendar for May & June

Hey gang,

CGI Overhead PC CLEAN UP

Hey gang,
Over time, the overhead PC desktop gets very cluttered, so I have a program to clean it up.  Everything old is going into a folder on the desktop called "Desktop Cleanup" (imagine that), and powerpoints are going into "ppoint slides", etc.  See attached circled for specific folders relative to their format.

Service Media Capture, Podcast & Upload

1st Service – Sunday
Service Media Capture & Upload

I. Use Windows Media Encoder to capture the video for the service
***This program automatically is set to start at 9:30am every Sunday***
a. DoubleClick on preset WME file on desktop of booth media computer
i. File is called “ServiceMediaCapture.wme”
b. Click on “Start Encoding” at beginning of service
i. Video & Audio Encoding should begin and you should see the video and audio output

1. Encoding is already set for the following format quality
Video Quality: Medium Bit Rate
Audio Quality: CD Quality Bit Rate
c. At end of Service hit “Stop” to stop encoding

II. Editing the Video File to create an Audio file using Sony Vegas.
a. Open My Documents and find the sunday.wmv in the My Documents folder

b. Right click on the media and select “Open With:” Sony Vegas, or open Sony Vegas first and drag the “Sunday.wmv” file into Sony Vegas.

c. Just trim the front and rear of the file inside the track.
i. For more information using Sony Vegas, consult the manual or be shown
d. Highlight the media to trim, use the S key to split into two
e. Move cursor over the end or beginning of the media clip and drag to trim
f. Clean up and delete any excess media, move usable media to beginning

III. Saving Audio File
a. Save audio file with the following parameters:

Podcasting Qualify Format:
Bit Rate: 24 kbps
Sample Rate 22.050 KHz
Mono
Type: MP3

b. Save in My Documents\Audio\ folder
c. Name based upon type of message
i. Book Study: BS
ii. Topical Message: TM
iii. With date format: mm/dd/yy
iv. Example Bible Study on Oct 9th 2005: BS100905.mp3

IV. Uploading Audio File
a. Open the web link msgUpload, which is usually on the desktop, or go to the site at
b. http://www.calvaryaustin.org/php/msgUpload.php
c. Login using the Upload password
d. Fill in the appropriate blanks accordingly, taking reference to other media files on CalvaryAustin.org so that they are consistent.
e. Submit the podcast file and wait until the page says COMPLETE!
f. Check that the audio file has been uploaded and listen to the beginning to be sure it uploaded correctly.

Font Issue - Resolved

I figured out the font issue and resolved it.  I downloaded a font creator:
 
For blogging purposes:
I just edited the name of the font to the same name that it tries to find, because the one that Allen uses on his mac has different name, so it doesn't associate automatically.  The name of the Mac font is
 
Myriad Pro Bold
 
But the name of our PC font is
 
MyriadPro
 
So I just corrected it to Myriad Pro Bold.
 
It worked!

Good morning
You guys did a wonderful job this last weekend
it was a HUGE success, especially in reference to our staffing.
we have had so many new volunteers - its a huge great thing!!
thanks for being on top of things in order to make it run so smoothly
- please forward my thanks and appreciation to those that served with
us this weekend helping to make it such an incredible time

I believe we saw 1100+adults this weekend
there were approximately 100+ new believer packets that went out!!

our prayer is now that many of these would return and begin that
journey with us coming to know the walk and the meaning of belonging
it would be so great if many of these new believers or even the
recommiters would begin to call Calvary their home church

it would be so great if in the next 5 years, 10 years some of our
leaders in the church are from this easter when they came and were
touched and changed.
we can pray for that!!

Joe - everyone did such a good job in the auditorium, the seating and
handling a larger crowd that normal especially 2nd service sunday.
Marls - i loved seeing everyone in their location so eager to serve,
you did a good job placing everyone
R&M - the whole media presentation, lights, camera action  was done
really well, helped so many to first be impressed with our set up but
i think it set a great mood for the word...

please please please pass along the thanks for this weekends help!!

Media Fellowship

Hey all,
Thought it would be a good idea for us to have a time to hang out.  It will be a great opportunity for the new folks to get to know everybody too.  So on April 6th, let's meet for Sunday lunch after 2nd service, not this weekend but the next, the Sunday after the First Wednesday.  Most Life Groups take a break so that might help. 
 
Place: Let's make it easy, Wendy's on Wells Branch, just accross from the HEB at 1825.  There might be something for everybody, and with a large crowd you could even bring something of your own to eat.  Or just stop on by for a few to say hi.
 
Time: 1:30pm
 
Date: April 6th --- And let's make it a monthly thing, so the Sunday after the First Wednesday services...I'll try to put it on the Calendar as well.  Feel free to offer ideas for future gatherings.
 
I'll be working on the calendar for April next week so let me know this week if you know of any schedule changes to provide me.

Project worship lyrics and power point slides with a variety of esthetic backgrounds by using "Easy Worship" software:
Create power point slides, project children's ministry numbers, and coordinate transitions with videographer during the service.
Arrive early to turn every thing on and setup worship schedule and powerpoint presentations, projectors, testing video audio with the sound team and ensuring everything else is working properly. 
Close down after service accordingly
Service Frequency: 2-3 times a month
Times of Service: Any Weekend Service
 
Lighting Technician
Use of stage lighting, colored and moving lighting, as well as house lights at various transitions throughout the services.
o Ensure all needed stage lights are working properly
o Reset overloads (by pushing a button) or replacing a bulb
o In Special Events, it may require redirecting the lighting fixtures
Service Frequency: 2-3 times a month
Times of Service: Any Weekend Service
 
Videographer
Positioning and projecting video of the worship band, speaker, and overhead presentation via switch board and robotically controlled cameras
Encoding the service using Encoder and FTP
Arrive early to turn every thing on and setup making sure everything is working properly
Setup camera positions and white balance accordingly
Making sure the TV's in the New Parents and Nursing Moms rooms are operating properly
Service Frequency: 2-3 times a month
Times of Service: Any Weekend Service
 
CGI Overhad Lyrical Editor (pre-production)
Arrives during worship practice times to edits the lyrics in Easy Worship to arrange the lyrics in a fromal manner that can be easliy followed during the live performance.  Works with the worship team to clarify song lyrics and timing.
Service Frequency: 2-3 time a month
Times of service: Thursday evenings and two hours before weekend services.
 
Media Director
Oversees and directs media in a given service, ensuring all aspects of media run smoothly.  Coordinates with each person running the various media roles as well as the sound engineer and producer (i.e. pastor).
This person needs to be very familiar with all aspects of media and be able to cover in case someone becomes unavailable to serve. 
This person also has miscellaneous duties such as editing the podcast for the internet (post-production, running DVD media, and ensure all other responsibilities in media are covered.

PPT procedure

Hey guys,
The primary place where we get the powerpoints for announcements and
sermon messages is through email, Outlook Express. However, if it
doesn't come through email, we can also check the share driver server.
Here's the directory and see attached for a picture of the shortcut
on the Easy Worship PC machine.

Media Blog - Video Slide Show

Hey all,
I'm trying to get back to documenting things we do in the media
ministry, so for future reference any one of us can look back to.
Along with the ministry schedule, much of the documentation will go on

This week we have the Van Pelts doing an interview after their mission
trip in Africa. Doug gave me a whole bunch of pictures. I had a
delima for our 1st Wednesday (one small piece of out of the big pie
that's called 1st Wednesday), where I need to create a slide show
video with over 200 pictures. We've done this before, but it's been
so long since that I forgot how we did it. But I think the difficulty
this time was to render something that large and long without manually
inserting one pictures at a time. So he's what I did.

Import pictures into Google's Picasa (free software).
- Highlight all the pictures, and on the menu Create -> Movie
- Determine size and length of clip (For this week I chose 320 at 5
seconds each)
- Video Compression - Use Indeo Video, 85% compression, Key Frame
Every 15 frames, Configure Quick Compress
- Click OK and it will render the video.

It takes some time and the reason I wanted to write all this stuff
down is because it took about 6 tries to get the best compression
quality without the file corrupting. Yes, video can corrupt if too
big and bulky.

To create the DVD's, we use Sony DVD Arhitect ($50).
- Menu mode, insert rendered video and break out into chapters (Three
because we have three screens above the stage where these will
go.....so they can start at different places)
- Make sure the end action on the video is Loop.
- Trim as needed (beginning needed to be trimmed since Picasa puts an
intro on it, which I don't think is able to change)
- Burn to DVD

Now for what we'll have on the big screens while the Van Pelts are
being interviewed by Allen is simply using Picasa AGAIN as a screen
saver for the pictures on the Easy Worship Computer. This helps us
avoid rendering a movie, although we could use the one we made above,
it just something different.

I really like the Movie Picasa makes because it moves thru the
pictures. Check it out tomorrow!

March Media Calendar

Hi again,
Here's an update on March. I've included a second sheet where it
gives each one of you guys a break out of what days you are scheduled
to serve. The sheet is called BreakOut. (Yes Excel is actually my
day job).


And for those of you who didn't get the email, check out this tip on
lighting and graphical timing......

I wanted to provide some examples of the importance of timing in our
media. This includes the lyrics, lighting, and graphics (even the
stuff behind the lyrics). Here's a music video which gives a good
example of the lighting and graphical timing which is in sync with the
music. Please pay close attention to the lighting during different
parts of the music (verse, chorus) and how the graphics behind the
band changes according to the music.

March Media Calendar

In a several short weeks all of us will be putting our final touches on our preparations for the Easter weekend.
one interesting thing to remember is that easter comes early this year.
as a staff we've talked about the weekend at hand and want to convey the direction that we're going.

typically we've covered the entire weekend with services. This year will be no exception.
Friday, Saturday, and Sunday will be filled with guests and regular attenders.
There are still LOTS to plan and prepare for like the theme and the feel of that weekend that we'll want to package in a way that will reach those who may be experiencing Calvary for the first time.
As I am able, i will let you know of those plans as well, as it can help to prepare for that weekend.

In the mean-time here are the services and the times associated that need to be staffed.
Friday March 21 7PM
Saturday March 22 5PM & 7PM
Sunday March 23 9AM, 11AM, & 1PM
